Transforming Learning During Lockdown Building a Virtual Classroom for 8000+ Students in One Week
When Classrooms Went Silent
The client
In early 2020, as the world went into lockdown, one of the leading educational organisations in the region faced an unprecedented challenge — how to continue classes for over 8,000 students across multiple schools, without a single interruption.
Schools were closing, teachers were uncertain, and existing digital tools like Microsoft Teams, Google Classroom, and Zoom were struggling under massive global traffic.
The client needed a solution that could replicate a classroom experience online, handle large-scale concurrent users, and work smoothly even in regions with video call and VOIP restrictions.
And they needed it in a week.

A Race Against Time
At the height of uncertainty, the client reached out — hopeful, but sceptical.
Our proposal to build a fully functional virtual classroom ecosystem using Moodle and BigBlueButton was unconventional at that time.
Unlike the commercial giants, these were open-source tools with limited documentation, weak community support, and no proven scalability benchmarks.
There were no case studies, no stress tests, and no known best practices for 8,000 concurrent users.
But time was running out. Students were waiting. The client agreed to run a parallel pilot — one with Microsoft Teams, and another with our proposed open-source setup.

From Experiment to Execution
Our R&D sprint began immediately. The goal: make BigBlueButton a relatively unknown open-source video conferencing tool stable and scalable enough to handle real-time classes across thousands of users.
We tested, failed, and tested again failing fast and learning faster.
Through continuous experiments, we architected a distributed load-balanced setup using:
- 18+ smaller servers, each handling parallel sessions
- A load balancer managing smart routing and failover
- Custom monitoring and reporting tools to track live usage, CPU loads, and performance metrics
This approach ensured stability, scalability, and uninterrupted learning — even when the commercial tools faced regional outages.

Engineering Resilience Under Pressure
The result was a custom, enterprise-grade procurement management system — accessible on both web and mobile, supporting multiple user roles and approval structures.
Moodle for course management and student-teacher interactions
BigBlueButton for live video sessions and whiteboard collaboration
Custom-built reporting module for class attendance, session logs, and technical metrics
Load-balanced server architecture for high concurrency and fault tolerance
We also collaborated with telecom providers and government agencies to navigate local restrictions on VOIP and video calling — ensuring compliance and uninterrupted connectivity for every student.

When Innovation Met Urgency
Within a week, over 8,000 students and teachers were attending live virtual classes — smoothly, securely, and without disruptions.
The system handled thousands of concurrent users daily, across multiple time zones and schools.
Teachers adapted easily. Students stayed connected. Learning continued.
While global giants faced heavy usage challenges, this custom-engineered open-source solution proved that innovation doesn’t always need big names — just the right intent and execution.

Resilience Through Collaboration
This project stands as a reminder that real innovation happens under pressure.
It was a story of rapid prototyping, engineering resilience, and global collaboration — built on open-source technology, driven by necessity, and powered by a team that refused to stop at “it can’t be done.”
In just a week, we helped thousands of students return to their classrooms — virtually — when it mattered the most.
